Terms & Conditions

1. Vehicle Ownership

The Vehicle remains the property of T.C. Campers Ltd at all times and T.C. Campers Ltd may repossess the vehicle at any time, without further notice, if Hirer is in breach of this agreement.


2. Packs

2.1. Welcome Pack: Complimentary refreshments & cleaning products to help the Hirer to get started on their journey.

2.2. Kitchen Pack*: 3 x saucepans, 1 x frying pan, 1 x heat proof mat, 1 x cutting board, 2 x wooden spatulas, 1 x plastic frying spatula, 1 x large soup/serving spoon, 1 x potato peeler, 1 x bottle opener, 1 x can opener, 1 x small cheese grater, 1 x silicon tongs, 1 x scissors, 3 x sharp knife (small, medium, large), 4 x mugs, 4 x glasses, 4 x wine glasses, 4 x tea spoons, 4 x table spoons, 4 x forks, 4 x butter knifes, 4 x plates, 4 x breakfast bowls, 1 x small dustpan & brush, 1 x electric kettle or 1 x stove kettle, 1 x electric toaster, 1 x kitchen foil, 1 x cling film, 1 x gas bottle, 1 x collapsible washing bowl, 1 x fire blanket, 1 x 600g powder fire extinguisher, 1 x first aid kit, 1 x EU Emergency kit

2.3. * All items listed as in section 2.2. and section 2.3. are on loan to the Hirer to use for the duration of the rental hire period and must be returned with the vehicle, excluding any complimentary items.


3. Collection & Return

3.1. The vehicle will be collected and returned at the following address - 9 Castlehill Road, Walsall Wood, Walsall, WS9 9DA, main driver must be present on collection and return of the vehicle.

3.2. Collection:

  • Monday – Sunday 2.00pm – 5.00pm on the day that hire is due to begin. Please allow at least 30 minutes for the demonstration and any necessary admin/paperwork. T.C. Campers Ltd reserves the right to suggest specific collection time in high season (hire during school holidays including weekday and weekend hire).
  • Subject to availability, in Mid and High Season, the Hirer can request early collection time – from 11.00am – for an additional fee of £25.00, this must be agreed in writing with T.C. Campers Ltd at least 7 days before the commencement of hire.
  • Subject to availability; in Low Season the Hirer can request collection time outside of normal collection time 2.00pm – 5.00pm without incurring any additional cost. This has to be agreed in writing with T.C. Campers Ltd at least 7 days before the commencement of hire.

3.3. Return:

  • The vehicle must be returned to the address in Section 3.1. by 10.00am on the final day of the agreed hire.
  • T.C. Campers Ltd reserves right to charge a late return fee of £50.00/hour, if the vehicle is not returned to the address in Section 3.1.
  • The vehicle must be returned with the fuel tank at the same level as when collected. Failure to do this will result in a refuelling charge of £25.00 plus the cost of fuel.
  • The Hirer is responsible for the return of the vehicle in the same condition as it was when collected, with all personal belongings removed and inside vehicle clean. Additionalcleaning charges of up to £50.00 may be applied for excessive dirt to interior or exterior of the vehicle.
  •  T.C. Campers Ltd reserves the right to charge for any missing inventories or/and accessories.
  • Additional charge will be levied, which will in the first instance come out of the damage security deposit.


4. Minimum Rental Hire Period

This can range from 2 - 4 days depending on the season*. T.C. Campers Ltd reserves rights to increase the minimum hire period for the certain events such as bank holiday weekends or public holidays weekends.

5. Booking and Payment

5.1. All prices include 20% VAT, unlimited mileage, UK & EU fully comprehensive self-drive hire insurance* and UK & EU standard equipment and breakdown cover**.

5.2. A non-refundable booking deposit of 20% of “Total to Pay” amount is needed to secure the booking. The balance must be paid in full 6 weeks before the commencement of the rental hire period. T.C. Campers Ltd reserves the right to cancel the booking if payment is not received 6 weeks prior to commencement of hire.

5.3. Payment can be made by credit card (Visa or MasterCard only), debit card and bank transfer. Please note we do not accept cheque or cash payments.

5.4. For late bookings (less than 6 weeks before the commencement of hire) the full rental price is payable on booking. The vehicle will not be released without full payment being completed.


* In some cases, T.C. Campers Ltd will incur an additional charge if the driver has more than two insurance claim or is in an occupation which is considered high risk. These charges will be passed onto the Hirer.

** T.C. Campers Ltd will supply full breakdown cover, to cover any mechanical faults to the base of chassis of the vehicle. Any call out charges caused by the client through operator error, e.g. flat vehicle battery, wrong or insufficient fuel, keys locked in the campervan etc. will be the responsibility of the Hirer.


6. Overnight Festival Bookings

6.1. T.C. Campers Ltd will allow Hirer to take the vehicle to overnight UK festivals only.

6.2. Any overnight festival bookings will attract an additional cost of £60.00/night.

6.3. If the Hirer intends to take vehicle to any overnight UK festivals, the Hirer must select “Festival” option from “Optional Extras” at the time of booking.

6.4. If the Hirer books the vehicle and forgets to add “Festival” option to the booking or later on the Hirer decides that they intend to take the vehicle to any overnight UK festival, the Hirer must inform T.C. Campers Ltd of their intention in writing as soon as possible or at least 7 days in advance of the commencement of the hire to ensure amendment to the Rental Agreement can be done accordingly and any additional unpaid “Festival” costs are paid before commencement of the rental hire period.

6.5. Failure to follow sections 6.3. and 6.4. will result in loss of up to 100% damage security deposit.


7. Cancellation Policy

7.1. If the Hirer cancels the booking, the following charges will apply.

7.2. T.C. Campers Ltd reserves the right to cancel the booking if the Hirer fails to meet any Terms, in which case no refund will be provided.

7.3. In case of cancellation by T.C. Campers Ltd not due to force majeure, the Hirer will be fully refunded.

7.4. If the cancellation is avoidable T.C. Campers Ltd is liable for all direct costs incurred by the Hirer, but only up to a maximum of £500.


8. Vehicle Inspection and Damage Liability

8.1. The VEHICLE INSPECTION FORM (or equivalent document) is an official part of the rental contract. It records the condition of the Vehicle at the start and end of the rental period, including fuel gauge position and mileage.

8.2. Both parties must sign the VEHICLE INSPECTION FORM at the beginning and end of the rental hire period.

8.3. T.C. Campers Ltd must notify the Hirer of any known defects or vehicle faults at the beginning of the rental hire period.

8.4. The Hirer must notify T.C Campers Ltd of any defects noticed before or during the rental period, and any damages that occur during the rental hire period (photographic evidence may be needed).

8.5. T.C. Campers Ltd will conduct a full Pre-Checkout Inspection (PCI) on every vehicle, before the commencement of rental hire period. The PCI involves assessing every system on board the vehicle to ensure they are working correctly.

8.6. In conjunction with this the Hirer will be taken on a tour of the vehicle and shown how each system works. Should an onboard system fail during the rental hire period, T.C. Campers Ltd will make every effort to remedy the fault whilst Hirer and their party are away, but in some circumstances this may not be possible, and T.C. Campers Ltd cannot be held responsible and will not refund any monies should a loss of service be encountered nor have any obligation to provide a replacement vehicle.

8.7. In the case of the winter hire, T.C. Campers Ltd will not be and cannot be held responsible in the event of any damage or inconveniences caused by freezing conditions. This is the responsibility of the Hirer.

8.8. T.C. Campers Ltd has 7 days after the rental hire period ends to claim any additional charges from the damage security deposit. Failure to do so will result in full release of the damage security deposit to the Hirer.


9. Insurance & Damage Security Deposit

9.1. Fully comprehensive self-drive insurance is provided by T.C. Campers Ltd and is included in the hire charge.

9.2. The insured vehicle shall not be let out on hire to or be driven by:

  • Persons engaged wholly or partly in professional entertainment or professional sports persons.
  • Jockeys and persons connected with racing, gaming industry or press of any sort.
  • Foreign Service Personnel other than persons holding a full UK/EU license for 2 years or more.

9.3. The damage security deposit will be blocked on the Main Drivers’ payment card 24 hours before the rental hire period starts. This deposit will be used to cover any damage to the vehicle and its content or breaches of the Terms.

  • Mainland UK Full Licence Holders – a damage security deposit from £1,250.00
  • EU Full Licence Holders – a damage security deposit from £1,500.00
  • USA/CAN/SA Full Licence Holders - a damage security deposit from £5,000.00 providing all drivers have at least 2 weeks UK driving experience. Drivers with less than 14 days UK driving experience will not be cover on the insurance.

9.4. The damage security deposit will be refunded within 7 working days of the vehicle being returned to the address in Section 3.1. and as per the criteria set out in Section 3.2. Collection and section 3.3. Return and assuming there are no outstanding insurance claims.

9.5. In the event of any collision, traffic incident or accidental damage caused to internal or external parts of the vehicle including fixtures and fittings, costs will be deducted from the damage security deposit.

9.6. Should any damages exceed the value of the damage security deposit the Hirer will be responsible to settle all additional costs over and above the damage security deposit value within 7 days of the hire end date.

9.7. In the event of an accident, breakdown, or damage, the Hirer must follow the emergency procedures outlined in Section 12.

9.8. The vehicle is insured for the specific rental hire period, therefore driving the vehicle outside the contract period may result in a road traffic offence, in the event of which the hirer would be totally responsible for any accidental damage, injury and consequential loss thereafter; the Hirer will also risk legal action under such circumstances.


10. Requirements for All Drivers

10.1. All drivers must be aged between 25 and 79 years old (70 years old if driver holds EU/USA/CAN/SA licence) and have held a full valid driver's licence for minimum two years. T.C. Campers Ltd reserve the right to refuse to hire the vehicle to any driver T.C. Campers Ltd see not fit without explanation.

10.2. All drivers must not have been convicted for the following driving offence codes AC, BA, CD, DD, DR, IN, LC, MS, UT, MR and TT or for any driver disqualification, had their insurance excluded or refused within the last 5 years.

10.3. All drivers must not have no more than one fault or outstanding incident/claim in the last 2 years.

10.4. All drivers must not use any medication or have any condition that impairs their ability to drive. Any relevant medication must be declared to the T.C. Campers Ltd at least 7 days in advance of the commencement of hire to ensure it does not void the insurance cover.

10.5. All drivers must provide copy of the photo card drivers’ licence (address and ID must be up to date) and two proofs of address** at the time of booking. These documents can be scanned and emailed to relevant email address or uploaded through the website.

10.6. All drivers must sign the Rental Agreement.

10.7. T.C. Campers Ltd reserves the right to check all driver’s identity and driving history and to refuse the booking if the requirements are not met.

10.8. Drivers will be held personally liable for any and all legal penalties (e.g. fines, charges or illegal activities undertaken), which are incurred during the period of hire, except where those penalties can be proven to reflect upon the condition of the vehicle at the point of hire. In relation to any motoring offences that occur during the hire period such as speeding/parking infringements then the contact details of the driver(s) will be passed to the appropriate fine/points issuer.

10.9. All EU and Foreign Licence Holders must also produce a copy of the full driving licence, passport and two proofs of UK address**

10.10. Only Drivers named on the Rental Agreement are permitted to drive the hired vehicle.


** Acceptable proof of address (any two):

Electricity, Gas, Water bill, Broadband/Landline/Mobile Phone bill, Council Tax bill, TV Licence bill, Bank Statement, Credit Card Bill/Statement, Mortgage Statement, Polling Card, HMRC self-assessment/tax credit, Student Loan Statement, Shotgun Licence, Payslip, Pension Letter, Car Finance Statement, Loan Statement, Property Deed.

An annual council tax bill will be acceptable. All other documents must be dated within 90 days of the hire commencement date. The name and address on the drivers’ licence must match both documents.


11. Hirer’s Responsibilities

11.1. The Hirer is responsible for the security of the vehicle at all times during the rental hire period.

11.2. The Hirer must not drive or/and park the vehicle ‘Off Road’ other than for reasonable access to a campsite. Should Hirer become stuck at any time while ‘Off Road’, the Hirer will be responsible for any recovery costs. The breakdown cover is for roadside assistance only.

11.3. The Hirer/Driver is responsible for all fines and other legal charges, including but not limited to parking fines, speeding fines, the full cost of any fees associated with the vehicle being impounded and any on the spot fines. Such fines & charges may incur a £25.00 administration fee by T.C. Campers Ltd.

11.4. The Hirer is responsible for all the keys that belong to the vehicle. Lost keys are expensive and are not included as part of the breakdown service. The Hirer will be responsible for the full cost of the replacement keys and replacement locks if required.

11.5. The Hirer will be liable for the full cost of repairing any damage caused by forced entry to the vehicle.

11.6. The Hirer must not sell, rent, lend or dispose of the vehicle or any of its parts, the Hirer must not give anyone legal rights over the vehicle. The vehicle remains the property of T.C. Campers Ltd.

11.7. At the time of handover, the vehicle will be documented to be in a roadworthy condition. The Hirer must keep the vehicle in a roadworthy condition at all times.

11.8. The Hirer must report any faults in or on the vehicle as soon as possible, to allow T.C. Campers Ltd reasonable time to find parts and make any necessary repairs.

11.9. The Hirer must make sure that the correct fuel is used at all times. Using the wrong fuel is not covered by the breakdown service and the Hirer will be liable for the full cost of any remedial repairs needed as a result of using the wrong fuel.

11.10. The Hirer will be responsible for all OVERHEAD DAMAGE resulting from any accident – overhead damage is defined from the ground to in excess of 6 feet (1.87 meters).

11.11. Any damage to the WINDSCREEN, TYRES & PUNCTURES are the responsibility of the hirer.

11.12. The Hirer must check the condition of the tyres & engine fluid levels on a daily basis whilst the Hirer have the vehicle on hire.

11.13. Before the Hirer vacates the vehicle, the Hirer must check that they have not left any personal belongings in the vehicle. T.C. Campers Ltd is not responsible for any personal belongings left in the vehicle and is hereby authorised to dispose of all personal belongings left at the end of the hire.


12. Emergency & Damage Reporting

12.1. In the event of an emergency, such as dashboard warning lights or/and accident, the Hirer must:

  • Pull over safely and immediately.
  • Contact the breakdown service provider XXXX on XXXXXXXXX and T.C. Campers Ltd on 07777159304.
  • Stay with the vehicle until help arrives.

12.2. Breakdown and recovery services will be at the Hirer’s disposal 24 hours a day 7 day a week.

12.3. The Hirer will be authorised to spend up to £50 on necessary repairs and T.C. Campers Ltd will reimburse the Hirer against a valid VAT receipt.

12.4. Any repairs above £50.00 need to be authorised by T.C. Campers Ltd.

12.5. Any breakdown, malfunction or damage caused by Hirer’s negligence will be made good at Hirer’s expense.

12.6. Any damage must be reported to T.C. Campers Ltd immediately with details of who, what, where, and when the damage occurred.

12.7. In the event of an accident the Hirer must, where possible note all necessary third-party details and gather photographic evidence.

12.8. In the event of a breakdown that makes the Vehicle unusable, and if no replacement Vehicle is provided, the Hirer is entitled to a refund for the unused hire period.

12.9. T.C. Campers Ltd will make every effort to ensure the vehicle is in a roadworthy and safe condition prior to each and every hire. T.C. Campers Ltd dissolves any responsibility for hotel or any other consequential expenses subsequent to a breakdown. However, T.C. Campers Ltd will refund the loss for any complete days lost for the use of the vehicle providing the Hirer have documentation to support this claim.


13. Use of the Vehicle

The Hirer agrees that during the rental hire period, the Hirer and their party will not and will not allow vehicle to be:

13.1. Driven otherwise than in a cautious, prudent and normal manner.

13.2. Used in a manner which could cause damage to the vehicle, its passengers, third parties or their property.

13.3. Driven in a prohibited area or in an area other than the areas indicated by the Hirer.

13.4. Driven by a person under the influence of alcohol or drugs or with a blood alcohol level in excess of that permitted in Law.

13.5. Driven by the people younger than 25 years old and over the aged of 79 years old (over the age of 70 for EU and foreign drivers).

13.6. Driven by the people aged 25 to 79 years old (under the age of 70 for EU and foreign drivers) with less than 2 years driving experience since obtaining a permanent licence to drive the vehicle of the same class as insured vehicle.

13.7. Driven by the people who are not authorised by law to drive the vehicle.

13.8. Driven by the people who have not been added to the vehicle insurance and rental agreement during the rental hire period.

13.9. Driven by the people who are not authorised to do so by T.C. Campers Ltd.

13.10. Driven by the people as per Section 9.2. /10.2. /10.3. / 10.4.

13.11. Leave the ignition key in the vehicle while it is unoccupied.

13.12. Leave the vehicle unoccupied without the steering lock in place and hand break firmly applied.

13.13. Damaged by submersion in water and be in contact with salt water.

13.14. Used for any illegal purpose for any race, rally or contest.

13.15. Used to tow any vehicle or trailer.

13.16. Used to carry passengers or property for hire or reward.

13.17. Used to carry more passengers than is allowed by any relevant authority or detailed in the vehicle manual or on the vehicle or specified in this agreement.

13.18. Used to carry volatile liquids, gases (other than gas bottles provided by T.C. Campers Ltd), explosive or other corrosive or inflammable material.

13.19. Driven off-road or on unsafe road surface (unsealed roads must be pre-approved in writing by T.C. Campers Ltd).

13.20. Travel overseas without prior written permission.

13.21. Driven on non-standard roads or in extreme weather conditions as defined by the T.C. Campers Ltd.

13.22. Make any modifications of any kind to the vehicle’s exterior, interior, mechanical or electrical working or accessories without prior consent from T.C. Campers Ltd.


14. Smoking

Smoking and vaping in the vehicle and in the driveaway awning are strictly prohibited. Any sign of smoking or vaping will incur a cost deducted from the damage security deposit.


15. Pets

15.1. T.C. Campers Ltd will allow pets to travel and stay in the vehicle during the rental hire period.

15.2. The Hirer must inform T.C. Campers Ltd at the time of booking if the Hirer intends to bring a pet(s), and this is charged at flat fee of £2.00 per pet per night.

15.3. T.C. Campers Ltd will only allow 1 medium size pet or two small pets in the vehicle during the rental hire period.

15.4. Only domesticated pets, such as dogs and cats, are permitted in the campervan during the rental hire period.

15.5. All pets must be house-trained, well behaved, be up to date on vaccinations and free from parasites.

15.6. All pets must be secured while the vehicle is in motion, using appropriate restraints or carrier.

15.7. All pets must not disturb other campers or create excessive noise, if a pet(s) shows aggressive or destructive behaviour, T.C. Campers Ltd reserves the right to terminate the hire agreement immediately.

15.8. The Hirer must never leave their pet(s) unattended in the vehicle at any time, pet(s) must not be allowed on the beds or furniture, and the Hirer must ensure that their pet(s) are provided with their own bed(s).

15.9. The Hirer is responsible for maintaining the cleanliness of the vehicle during the rental hire period, all pet hair, waste, and dirt must be removed before returning the vehicle.

15.10. Any damage caused by pets, including scratches, stains or odours, will be the responsibility of the Hirer and additional charges (cleaning fees or repair costs) will be levied, which in the first instance come out of the damage security deposit.

15.11. The Hirer assumes full responsibility for any injury or damage caused by their pet(s) during the rental hire period.

15.12. T.C. Campers is not liable for any injury or illness that may occur to their pet(s) during the rental hire period.


16. Errors in hire charges

Total charges as set out therein are not final. The Hirer will pay any shortfall in charges to T.C. Campers Ltd and the Hirer will receive a refund for any overcharges acknowledged by T.C. Campers Ltd.


17. Car Parking

Complimentary free car parking can be provided at T.C. Campers Ltd for the Hirer’s own vehicle for the duration of rental hire period at owner’s risk and at no extra charge.


18. Availability

If due to circumstances beyond our control, the vehicle is not available to the Hirer, T.C. Campers Ltd will reserve the right to offer a suitable alternative. Should a suitable alternative vehicle not be available to the Hirer, the liability will be limited to a refund of monies paid and the Hirer will have no claim against T.C. Campers Ltd.


19. General

19.1. The Hirer is responsible for any costs arising from the roof damage.

19.2. It is strongly recommended that the hired vehicle is not parked ‘Off Road’ and/or on the soft ground other than for reasonable campsite pitch. Should the Hirer become stuck at any time while ‘Off Road’ and/or on the soft ground, the Hirer will be responsible for any recovery costs. The breakdown cover is for roadside assistance only.

19.3. The Hirer must ensure that passengers wear seatbelts provided.

19.4. The Hirer must ensure that all hatches (including a pop top roof) and doors are securely fastened during transit.

19.5. The Hirer must ensure that the vehicle is not overloaded and carries only the correct number of passengers as per vehicle specifications.

19.6. The Hirer must ensure that the vehicle is locked, and valuables are secured when unattended for any reason.

19.7. The insurance excludes claims for loss or damage to personal possessions. In this respect the Hirer and their party are recommended to take out an additional personal holiday/travel insurance for the duration of the rental hire period.

19.8. Any changes to this agreement must be made in writing and signed by both parties.

19.9. The vehicle is equipped with a GPS tracker for security purposes and insurance, T.C. Campers Ltd must not use it to infringe on the Hirer’s privacy, however in event of any misdemeanour or otherwise T.C. Campers Ltd may retrieve information, and this may be gathered in the interest of the Public Authorities.

19.10. T.C. Campers Ltd reserves the right to add or amend vehicle specification, rental charges or any other terms and conditions without prior notice.

19.11. T.C. Campers Ltd will not discriminate drivers with medical conditions, as long as the DVLA, driver’s doctor or GP have not imposed any driving restrictions on to the driver.


20. Data Protection Act

The information that the Hirer will provide to T.C. Campers Ltd will be used to fulfil the Rental Agreement only. T.C. Campers Ltd will not pass this information onto any other organisation outside of this organisation other than

Insurance companies for the insurance purpose, any Public Authorities as per section 9.8. / 10.7. / 19.9. and any appropriate fine/points issuer as per section 10.8..


21. Governing Law

21.1. These Terms are governed by and construed in accordance with the laws of England and Wales.

21.2. Any disputes arising from or in connection with these Terms will be subject to the exclusive jurisdiction of the courts of England and Wales.


22. Entire Agreement

22.1. This Rental Agreement constitutes the entire agreement of the Parties and there are no other oral undertakings, warranties or agreements between the parties relating to the subject matter of this Rental Agreement

22.2. Nothing in this Claus shall limit or exclude any liability for fraud.

22.3. This agreement does not affect Hirer’s statutory rights under civil law.
